6 Steps to Migrate Your Digital Notes to Plain Text Files

Moving your information out of a complex note app and into plain text files gives you total control over your data. This process is straightforward. Here are six practical steps to move your notes into a simple text based system.

1. Set Up One Main Storage Folder

Start by creating a single folder on your computer to hold all your notes. You can name it "Notes" or "Digital Brain." Place this folder in a location that is easy to find, such as your Documents directory. If you want to sync your notes to your phone, place this folder inside a basic cloud storage directory like Google Drive or Dropbox.

2. Export Your Current Data

Open the app you currently use for notes. Go to the settings or file menu and look for an "Export" option. Most apps allow you to download all your notes at once. If the app asks you to choose a file format, select HTML, Markdown, or plain text. Do not export your notes as PDF files, because you cannot easily edit a PDF later.

3. Clean and Convert the Text

When you export notes from a heavy app, the files usually contain hidden computer code, broken formatting, or weird symbols. You need to clean this up. Open your exported files, copy the text, and use a plain text converter tool. This will instantly strip away the messy formatting and leave you with clean words. Save this clean text as a new .txt file in your main storage folder.

4. Organize with Basic Folders

Do not use tags to organize your plain text files. Tags only work inside specific software. Instead, use standard computer folders. Inside your main storage folder, create a few subfolders for broad categories like "Work," "Finances," and "Personal." Move your new .txt files into these folders. This basic organization method works on every computer and will never break.

5. Name Files with the Date

To keep your notes in order, start every file name with the date. Use the format Year-Month-Day. For example, name a file 2026-07-11-Meeting.txt. Because computers sort files alphabetically, putting the year and month first ensures your notes are always displayed in perfect chronological order.

6. Pick a Fast Text Editor

You do not need to buy new software to read and write your notes. You can use the programs already installed on your computer. Use Notepad if you have a Windows computer, or TextEdit if you use a Mac. These programs open instantly and handle plain text files perfectly without adding hidden formatting.
